Now we’re growing our team and looking for an Office Manager who is as invested in the mission as we are.

About the Role

This is a shared position supporting two small, relationship-centered practices — Precise Pediatrics and Rooted in Wellness. Many of our patients and families overlap between both offices, which means this role is uniquely positioned to help us create a truly seamless experience for the families we serve.

You'll be the heartbeat of day-to-day operations: the warm voice at the front desk, the problem-solver who keeps things running, and the person who helps us build smarter systems as we grow. This isn't a "stay in your lane" role — we want someone who sees something that could be better and takes initiative to improve it.

What You’ll Do

  • Welcome patients and families in a warm, professional manner

  • Manage scheduling and appointment flow across both practices

  • Handle phone, email, and in-person communications with care and clarity

  • Develop and refine systems, workflows, and SOPs that support both teams

  • Help onboard and train staff on new tools and processes

  • Keep both clinic spaces clean, organized, stocked, and running smoothly

  • Coordinate with vendors and community partners

  • Build referral relationships with like-minded local providers

  • Proactively spot inefficiencies and bring solutions — not just problems

Who We’re Looking For

  • Experience in a medical or healthcare office setting (preferred)

  • Strong organizational skills and the ability to juggle multiple priorities

  • Excellent communication by making people feel heard and taken care of

  • Comfort with scheduling systems and EMR software is a plus

  • A self-starter mindset

  • Detail-oriented with strong follow-through

  • A genuine love for working with children, families, and a close-knit team
