About the Role
This is a shared position supporting two small, relationship-centered practices — Precise Pediatrics and Rooted in Wellness. Many of our patients and families overlap between both offices, which means this role is uniquely positioned to help us create a truly seamless experience for the families we serve.
You'll be the heartbeat of day-to-day operations: the warm voice at the front desk, the problem-solver who keeps things running, and the person who helps us build smarter systems as we grow. This isn't a "stay in your lane" role — we want someone who sees something that could be better and takes initiative to improve it.
What You’ll Do
Welcome patients and families in a warm, professional manner
Manage scheduling and appointment flow across both practices
Handle phone, email, and in-person communications with care and clarity
Develop and refine systems, workflows, and SOPs that support both teams
Help onboard and train staff on new tools and processes
Keep both clinic spaces clean, organized, stocked, and running smoothly
Coordinate with vendors and community partners
Build referral relationships with like-minded local providers
Proactively spot inefficiencies and bring solutions — not just problems
Who We’re Looking For
Experience in a medical or healthcare office setting (preferred)
Strong organizational skills and the ability to juggle multiple priorities
Excellent communication by making people feel heard and taken care of
Comfort with scheduling systems and EMR software is a plus
A self-starter mindset
Detail-oriented with strong follow-through
A genuine love for working with children, families, and a close-knit team
